Cancellations
Dear THERA-SSAGE Customers,
Thank you for patronizing our business. We truly
appreciate every one of you.
We seem to be having a problem that is snowballing out of
control recently, and that is with people canceling their
appointments at the last minute—or heaven forbid, failing
to call or show up at all.
We have found it necessary to ask your help in this matter.
We are very busy now, and we usually have a waiting list
of people hoping that someone cancels so they can get in.
Unfortunately, when you wait until fifteen minutes before
your appointment to call and cancel, that doesn’t leave us
the time to call them and get them here in time to take your
appointment.
That means that your therapist has just lost an hour’s worth
of income. Maybe you think an hour isn’t a big deal. If
three or four people do that in a week—and they do—that’s
someone’s power bill, or a week’s worth of groceries, or
their car payment.
We do realize that everyone has the occasional
emergency—a flat tire on the way here, a sudden death in
the family, etc. We have been willing to give everyone the
benefit of a doubt and have not charged for missed
appointments in the past. I am afraid that policy has cost
us a lot of money. In the past year, we have lost more than
8000.00 due to people canceling at the last minute or not
calling at all.
The therapists who work here are all independent
contractors. It is at each one's discretion of whether or not
to bill for missed appointments, and how much.
In the future, those people who have cancelled on us at the
last minute before, or who have just plain failed to show up,
will be asked to guarantee their appointment with a credit
card. Refusal to give us that guarantee will result in a
termination of our relationship. When we ask for a credit
card guarantee, that means that if you cancel without
giving us at least a 4 hour notice, we will be charging your
card for the visit anyway. If you don’t use credit cards, we’ll
send you a bill, and failure to pay it will mean you are no
longer welcome here. Furthermore, if you have a gift
certificate that you had intended to use to pay for the visit,
we will not honor it on any future occasion; it will be
forfeited. That is sad for the person who spent the money
to buy it or you, but there doesn’t seem to be any other
way to protect our income.
Do you know why the wait is so long at most doctor’s
offices? It’s because they overbook, secure in the
knowledge that a certain amount of people are not going to
show up for their appointments. We can’t do that here.
Please assist us by giving us at least a 4 hour notice in the
event that you have to cancel. That is our ideal. A 4 -hour
notice allows us the time to contact someone else to take
your spot, and to give them ample time to rearrange their
schedule in order to get here. What if we called YOU 15
minutes before your appointment, when you were really
looking forward to getting your massage, have arranged
your schedule and other commitments to accommodate it,
and have put the money aside for it-- if we just plain didn’t
show up to massage you at all? You would not appreciate
it, and we don’t either.
